Privacy Policy

1. Who we are
PixelMotion (“PixelMotion”, “we”, “us”) provides Dealership Chat, a customer-communication platform for auto dealerships (the “Service”). The Service includes a web dashboard and mobile application used by dealership staff, a chat widget that dealerships place on their websites, and SMS, email, and video communication channels.
This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. Questions? Contact us at support@pixelmotion.com.
2. Whose information this policy covers
The Service handles information about two groups of people:
- Staff Users — employees of our dealership customers who sign in to the dashboard or mobile app to respond to customer conversations.
- Dealership Customers — people who contact a dealership through the chat widget, SMS, or other channels powered by the Service.
For Dealership Customer information, the dealership you are communicating with is the data controller and decides how that information is used. PixelMotion processes it on the dealership’s behalf as a service provider. If you are a dealership customer, please also review the privacy policy of the dealership you contacted; requests about your information are best directed to that dealership, and we will assist them in fulfilling your request.
3. Information we collect
Staff account information. Name, work email address, phone number (used for two-factor authentication codes), role and department, and a securely hashed password. We never store passwords in plain text.
Communication content. Chat messages, SMS messages, email messages, and file attachments sent through the Service, along with metadata such as timestamps and conversation assignment. Video calls are connected through our provider; we store call metadata (for example, that a call took place and when), not recordings.
Dealership customer contact information. Name, email address, and phone number, provided by the customer through the chat widget or added by dealership staff.
Consent records. When a dealership customer opts in or out of text message communications, we record that choice and when it was made, as proof of consent required by law.
Device and technical information. Push-notification device tokens, IP addresses, browser and device type, and server logs used for security and troubleshooting.
Cookies. We use only strictly necessary cookies — a secure, httpOnly session cookie that keeps Staff Users signed in. We do not use advertising or cross-site tracking cookies.
4. How we use information
- To provide and operate the Service: delivering messages between dealership customers and staff across chat, SMS, email, and push notification channels.
- To secure accounts: authentication, two-factor authentication codes, rate limiting, and abuse prevention.
- To notify staff of new customer inquiries via push notifications, email alerts, and in-app alerts.
- To provide customer support and respond to requests.
- To comply with legal obligations, including keeping records of text-messaging consent.
We do not sell personal information, and we do not use the content of conversations for advertising.
5. Text messages (SMS)
Dealership customers receive text messages from a dealership only after opting in. Message frequency varies; message and data rates may apply. You can opt out at any time by replying STOP, or get assistance by replying HELP. Opt-out requests are honored and recorded.
Staff Users may receive text messages containing two-factor authentication codes when signing in, if a phone number is on file.
6. How we share information
We share personal information only as described below. We never sell it.
- Service providers (subprocessors). Twilio (SMS delivery and video calls), Expo (mobile push-notification delivery), and our cloud hosting provider (infrastructure, database, and file storage). Each provider processes information only to provide its service to us.
- The dealership you communicate with. Dealership staff can see conversations, contact details, and consent records belonging to their own dealership. Dealerships cannot see other dealerships’ data.
- Legal requirements. When required by law, subpoena, or to protect the rights, safety, or property of PixelMotion, our customers, or others.
- Business transfers. In connection with a merger, acquisition, or sale of assets, in which case this policy will continue to apply to previously collected information.
7. Data retention
- Staff account information is kept while the account is active and deleted within a reasonable period after the account is removed.
- Conversation content and customer contact information are retained according to our agreement with the dealership that controls the data, and deleted or returned when that agreement ends.
- Text-messaging consent and opt-out records are retained for as long as required by applicable law, even after other data is deleted.
- Server logs are retained for a limited period for security and troubleshooting.
8. Security
We protect personal information with industry-standard measures: encryption in transit (HTTPS/TLS), passwords hashed with bcrypt, short-lived access tokens, secure httpOnly session cookies, role-based access control, per-dealership data isolation, and rate limiting. No method of transmission or storage is 100% secure, but we work to protect your information and will notify affected parties of any breach as required by law.
9. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing.
- Staff Users: contact your dealership administrator or email us at support@pixelmotion.com.
- Dealership customers: contact the dealership you communicated with (the data controller). We assist dealerships in fulfilling these requests.
We will respond to verified requests within the time required by applicable law, and we will never discriminate against you for exercising your privacy rights.
10. Account deletion
Staff Users may request deletion of their account and associated personal information by contacting their dealership administrator or emailing support@pixelmotion.com from the email address on the account. We complete verified deletion requests within 30 days, except for information we are legally required to retain (such as text-messaging consent records).
11. Children
The Service is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
12. International users
The Service is hosted in the United States. If you access it from outside the United States, you understand that your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.
13. Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and update the effective date above. For material changes, we will provide additional notice, such as an email to dealership administrators.
